Disclosure: I am Simon Dziak, founder of App369 and Workspace369. App369 builds custom CRMs, and Workspace369 is a CRM that a custom build can run on, so I benefit when you build. Every outside price links to its source, read on November 8, 2026.

  • Integrations, roles and permissions, data imports and mobile apps move the price most.
  • Plan on running costs after launch: published figures run from $5,000 to $36,000 a year, or 15% to 20% of the build.

What does a custom CRM cost in 2026?

A first custom CRM costs $15,000 to $100,000 at the five agencies below. Larger builds start at $40,000 to $150,000, depending on the firm.

Agency (page date)First versionLarger buildsTimeline, first version
Galaxy Weblinks (Nov 19, 2025)$15,000 to $40,000 (MVP)$40,000 to $80,000 mid-level; $80,000 to $180,000+ enterprise2 to 4 months
Space-O Technologies (updated Jun 9, 2026)$25,000 to $50,000 (entry level)$50,000 to $150,000 mid-range; $150,000 to $300,000 advanced; $300,000+ enterprise3 to 4 months
TekRevol (Jan 30, 2026)$25,000 to $40,000 (small business)$100,000 to $150,000 SMB; $700,000+ enterpriseA few weeks to a couple of months
Cleveroad (updated Dec 3, 2025)$50,000 to $80,000+ (small to medium, essential features)$100,000 to $150,000+ advanced, with integrationsNot stated
RaftLabs (updated Nov 1, 2026)$45,000 to $100,000 (basic CRM)$150,000 to $230,000 multi-tenant platform12 to 20 weeks

Two details change how to read these numbers:

  • Where the team works. Cleveroad prices at $50 an hour, which it calls typical for Central and Eastern Europe. It says offshore teams can cost about 20% to 50% less.
  • What “first version” means. RaftLabs’ basic CRM includes contacts, pipelines, a timeline, email sync, reporting and roles. RaftLabs says a bare-bones build with only contacts and deal tracking can start near $24,000.

What does a custom CRM cost at App369?

At App369, a custom CRM starts with a $450 written scoping in 3 business days that ends in a fixed quote. The build is from $6,000, built by one developer, Simon Dziak, on the Workspace369 backend or fully custom. Hosting, plans and third-party services are separate.

How does App369 build a custom CRM?

App369 is one developer building a scoped first version, on the Workspace369 backend or fully custom. Three things shape the build:

  1. One developer. Simon Dziak scopes, builds and hands over the CRM himself.
  2. A written scope first. The scoping writes down your stages, fields, roles, screens and integrations. The build covers that list and nothing more.
  3. An existing backend, if it fits. The scoping picks the path. A CRM can run on the Workspace369 backend, Simon’s own product. Clients, pipeline stages, custom fields, proposals, e-signatures, invoices and payments already exist there. The build is only the part that is yours. The other path is fully custom on your own stack, with no platform subscription.

What isn’t included: your Workspace369 plan, hosting and third-party service costs, migrating years of history beyond the import named in the scope, native mobile apps (quoted separately), and features outside the written scope. The Custom CRM Build page has the full list.

What drives the cost of a custom CRM?

Integrations, roles and permissions, data imports and mobile apps move the price most. Each one adds screens, data rules and tests.

  • Modules. Cleveroad prices each module separately: contact management $2,500 to $6,000+, lead management $3,000 to $8,000+, sales pipeline $4,000 to $10,000+, and reporting $5,000 to $12,000+.
  • Integrations. Email, calendars, Stripe, accounting tools and phone systems each need their own connection, error handling and tests.
  • Roles and permissions. A CRM where sales reps, managers and clients see different things needs rules on every screen and every record.
  • Imports. Moving clean data from one spreadsheet is small. Years of history from an old CRM, with duplicates and missing fields, is a project of its own.
  • Platforms. Cleveroad lists $60,000 to $90,000+ for web only and $50,000 to $150,000+ for web and mobile. The page’s own figures overlap.

If you only need your existing CRM to talk to one other tool, you may not need a new CRM at all. App369’s API Integration connects two systems, such as a won deal creating a Stripe invoice.

What does a custom CRM cost after launch?

Published running costs range from $5,000 to $36,000 a year, or 15% to 20% of the build. The published figures:

SourceOngoing cost
Space-O Technologies15% to 20% of the build cost a year
Cleveroad$5,000 to $20,000+ a year
TekRevol$5,000 to $20,000+ a year
RaftLabs$1,500 to $3,000 a month ($18,000 to $36,000 a year)

Check what each running-cost figure covers. Hosting, email sending and paid APIs depend on your users and volume, and some quotes include them while others don’t. App369’s app maintenance cost guide breaks these down.

When is buying a CRM cheaper than building one?

Buying is cheaper when a ready-made CRM’s stages and fields are close to how you sell. Here are the numbers for one popular option.

HubSpot Sales Hub Professional costs $90 per seat a month on an annual commitment, or $100 billed monthly. A one-time $1,500 Professional onboarding fee is required. For 5 seats on the annual price:

PeriodHubSpot Professional, 5 seats
Year 1$6,900 ($5,400 in seats plus $1,500 onboarding)
Over 3 years$17,700

A custom CRM has no per-seat fee, but it has running costs and an owner who keeps it working. So the honest rule:

  • Buy when your process is ordinary, you need it working this week, and your budget is a monthly plan.
  • Build when the CRM is part of a product you sell, your data has to stay in your own cloud, or the gaps in every CRM you have tried cost you money every week.

App369’s build, hire or buy guide compares all three paths, including building it yourself with an AI coding agent.

What should you write down before asking for a quote?

Write down your stages, fields, roles, screens and integrations. Every quote, from any developer, gets faster and more accurate with this list.

  1. Pipeline stages. Each step a deal or client moves through, and what moves it.
  2. Fields. What you record about each client and deal, and which fields are required.
  3. Roles. Who uses it, and what each person can see and change.
  4. Screens. The 5 to 10 views people open every day.
  5. Integrations. Every tool it must read from or write to, such as email, Stripe or accounting.
  6. Data to import. Where your current data lives, and how many records.

App369’s written scoping produces exactly this list, plus a fixed price, in 3 business days. You can take that scope to any developer.

Over a few years it can be, for a small team with an unusual process. Five HubSpot Sales Hub Professional seats on an annual commitment cost $6,900 in the first year with the required onboarding fee, and $17,700 over 3 years. A ready-made CRM is still cheaper if it fits how you sell.

Scope and team. Integrations, roles and permissions, imports, reporting and mobile apps each add work, and agencies staff projects with several people. Cleveroad, for example, prices individual modules from $2,500 to $12,000 each.
